How we lifted colleague engagement and process adherence by replacing seven ageing intranets with a single, feature-rich home for communication and knowledge.

As The Co-operative Bank moved through a major organisational restructure, its internal communications infrastructure needed to move with it.
Seven intranet sites had developed across different departments over time, each supporting its own audience and its own requirements. Several ran on older platforms that depended on a small number of specialists, so bringing those areas together created an opportunity to simplify the colleague experience too: one place for communication, knowledge and the information people needed to do their jobs.
The Bank recognised that consolidating those systems could improve colleague experience, strengthen consistency and reduce the ongoing cost of maintaining multiple platforms.
The solution had to be maintainable by a shared service communications team, for an audience of over 4,000 colleagues split across two directorates, seven business areas and six locations.
It also had to enable the closure of seven existing intranet sites and all existing knowledge management tools, targeting a saving of £250,000 a year in support contracts.
And it had to be trusted. One version of the truth, so nobody needed a private document to do their job properly.
We built a brand new interactive intranet from the ground up, with insight from the colleagues who would be using it every day.

Information flowed across both sides of the site, reducing duplication and making sure there was one version of the truth.
Each business area had its own user profile, with unique newsfeeds, navigation and search, so people saw what was relevant to them.
We restricted certain processes to specific profiles, removing confusion and keeping similar processes consistent across different departments.
